for Using Our Conference
Call Service
To make the most of your
conference call, whether
it is talking to team members,
interviewing potential new
hires, or hashing out strategic
company objectives, keep
some of the following in
conference call tips in mind. Avoiding Background Noise
During a Conference Call
- Always call from a quiet location
- Turn off televisions and radios or noisy office equipment.
- Turn off the ringers of other phones.
- Press
*6 on your phone's keypad
to mute yourself and any
background noise from the
conference call
- Moderator's should put the call in Lecture Mode when only the moderators are speaking. (*5)
- If you are experiencing sound quality issues, try hanging up and then dial back in.
What Kind of Equipment
to Use for Conference Calls
- Choose
a hardwired phone over
a cordless phone if possible
- Avoid cell phones if possible. Mobile and cordless phones tend to pick up static as the signal travels through the air to reach the tower or base unit that actually connects to the phone lines in the ground.
- If you must call from your car, pull over where it's quiet and you have a strong signal. Turn off your engine.
- Speaker phones often pick up too much background noise. If you use a speakerphone, mute yourself when not speaking to eliminate background noise. (*6)
- VoIP phones will work, but may not give you the best clarity
Avoid Some Common Conference
Call Mistakes
- Don't put your phone on hold if you have on-hold music as it will play over the conference line to the other participants.
- Turn off your call waiting feature before dialing into the conference to avoid the disrupting beeping of another call coming in on your line. Dial *70 before dialing the conference number to disable call waiting.
Prepare for Your Conference
Call
- Select
the date and time for your
conference call.
- Prepare a participant list.
- Notify
participants of the conference
call date, time and expected
duration. (Don't forget
to specify the time zone)
- Advise
participants to be on time.
If participants join the
conference call before
the moderator, they will
be placed on hold until
the moderator enters the
conference.
- Distribute an agenda and any other necessary materials prior to the call.
During the Conference Call
- Introduce yourself and review the agenda briefly
- Introduce any guest speakers or other moderators
- Have the participants identify themselves when speaking
- Take turns speaking and allow time for comments. Avoid interrupting.
- Identify action items and responsible individuals.
- Confirm the next meeting date or other steps.
